What Is This Guide About?
This is Part 3 of our PLI IMS training series:
- Day 1: New policy issue (quote to bond dispatch)
- Day 2: Collections, receipt cancellation, free-look claim and non-financial services
- Day 3 (this post): Financial transactions, the requests where money moves or the policy value changes
This blog is based on the Day 3 PLI Training (IMS) deck prepared by Shri Vishwesh Pathak, Trainer, Solapur Division.
Note: All screenshots come from the training portal (training.cept.gov.in), and the deck itself says it is only for training purposes. The amounts below are training examples, not official rates.
Where to Start: Financial Indexing
Every financial request starts at the same place:
Insurance Management System → Policy Mgmt → Financial Indexing
Under Select Request Type you will find:
- Revival
- Loan
- Commutation
- Surrender
- Reduced Paid Up
- Conversion
Common first step for all: Select the request type, enter the Policy Number, check the Effect Date and click Fetch.
Who Does What? (Same 4-Step Chain for All)
| Stage | Role | Main Job |
|---|---|---|
| 1 | Counter PA | Index the request, generate the quote, confirm documents, issue the receipt |
| 2 | CPC User | Data entry and document upload from the Inbox |
| 3 | QC (Quality Checker) | Verify the documents and give a QC decision |
| 4 | Approver | Final approval and letter generation |
For loans, there is one extra step: the Treasurer processes the payment.
1) Policy Revival
When a policy has lapsed because premiums were not paid, the customer can revive it.
Counter PA:
- Financial Indexing → Revival, enter the policy number and click Fetch
- Select the Number of Installments and click Generate Quote
- Check the Revival Quotation, tick the confirmation check box and click Submit Request
- Generate and print the receipt for the Request ID
Example revival quote from the training screen (lump sum)
| Item | Amount |
|---|---|
| Premium Due | ₹6,840 |
| Interest | ₹1,170 |
| Revival Amount | ₹8,010 |
| GST | ₹910 |
| Total Payable | ₹8,920 |
Documents to be submitted:
- Revival Application Form (duly filled and signed)
- Medical Certificate
- KYC Documents (if required)
- Employer Certificate (if necessary)
- Any other document as per underwriting requirement
CPC User: Opens the request in the Inbox, does Data Entry, uploads the documents and submits
QC: Checks the uploaded documents in the Inbox (“Available for QC”) and gives the QC decision
Approver: Approves the request, and the system generates the Revival Letter for the customer
Collection (Counter User): The revival amount is then collected through Collection, and a receipt is generated
2) Policy Loan
Counter PA:
- Financial Indexing → Loan, then Fetch
- Enter the Requested Loan Amount and Loan Purpose
- Tick the document confirmation and click Submit Request, then generate the receipt
Example loan eligibility from the training screen
| Detail | Value |
|---|---|
| Maximum Loan | ₹52,600 |
| Minimum Loan | ₹1,000 |
| Interest Rate | 10% |
| Net Available | ₹52,600 |
Documents to be submitted:
- Application Form (duly filled and signed)
- Policy Bond
- Premium Receipt Book
- KYC Documents (if required)
CPC User: Does the data entry: loan amount, purpose, Disbursement Mode and Disbursement Office, then uploads the documents
QC: Verifies the request and gives the QC decision
Approver: Approves it. If some papers are still pending, there is also a Missing Documents option. The Loan Sanction Letter is then generated
Treasurer: Opens Treasury → Process Pending Transactions, finds the cheque request and clicks Process to release the payment 💰
3) Commutation (Change in Premium or Sum Assured)
Commutation lets a customer reduce the premium they pay, which lowers the sum assured.
Counter PA:
- Financial Indexing → Commutation, then Fetch
- Select the Commutation Type (for example, “Change in Premium Amount”)
- Enter the new premium and click Get Quote
- The system shows options. Select one and click Confirm Selection
- Submit the request and generate the receipt
Example from the training screen
| Sum Assured | Premium | |
|---|---|---|
| Old Policy | ₹1,00,000 | ₹275 |
| Option 1 | ₹90,000 | ₹191 |
| Option 2 | ₹95,000 | ₹257 |
CPC User → QC → Approver: Same flow as above. After approval, the customer gets a “Decrease in premium accepted” letter
4) Policy Surrender
When the customer wants to close the policy early and take the money.
Counter PA:
- Financial Indexing → Surrender, then Fetch
- The system shows the Bonus Accrual History and calculates the Surrender Value
- Tick the document confirmation and click Submit Request, then generate the receipt
Example surrender calculation from the training screen
| Item | Value |
|---|---|
| Sum Assured | ₹2,00,000 |
| Paid-Up Value | ₹1,83,333 |
| Bonus Accrued | ₹2,39,433 |
| Surrender Factor | 0.469 |
| Unpaid Premium | ₹1,500 |
| Default Fee on Unpaid Premium | ₹23 |
| Gross Surrender Value | ₹1,98,277 |
| Net Surrender Value (Payable) | ₹1,96,755 |
Documents to be submitted:
- Surrender Application Form (duly filled and signed)
- KYC Documents (if required)
- Policy Bond
- Premium Receipt Book
- Loan Receipt Book
- Bank Account Details proof
CPC User: Does the data entry, including Disbursement Details, and uploads the documents
QC → Approver: After verification and approval, a Surrender Letter with a Disbursement Voucher number is generated
5) Reduced Paid-Up (RPU)
If the customer stops paying premiums but does not want to surrender, the policy can be converted into a Reduced Paid-Up policy. The cover continues with a smaller sum assured, and no further premiums are due.
How the amount is worked out (training example):
- Premiums paid: 254 out of 336
- Original Sum Assured: ₹90,000
- Reduced Paid-Up Sum Assured = ₹90,000 × 254 ÷ 336 = ₹68,036
Documents to be submitted:
- Application Form (duly filled and signed)
- Policy Bond
- Premium Receipt Book
- Any other document as per underwriting requirement
Flow: Counter → CPC (data entry) → QC → Approver
What If Documents Are Missing?
The training deck shows an RPU request where the QC found a document missing (status: DOCUMENTS_PENDING). Here is how it is fixed:
- Counter User: Go to Policy Mgmt → Missing Documents, search the policy and click Fetch Missing Documents
- Tick the missing document (for example, Application Form) and the confirmation box, then click Submit
- CPC User: Picks it up again from the Inbox. The same procedure as loan/surrender follows from here
6) Conversion
Conversion is also listed under Financial Indexing. The Day 3 deck does not show it step by step.
Quick Memory Table for Exams
| Request | Key Documents | Final Output |
|---|---|---|
| Revival | Revival form, medical certificate | Revival letter |
| Loan | Application, policy bond, premium receipt book | Loan sanction letter + Treasury payment |
| Commutation | Application, documents as required | Decrease in premium letter |
| Surrender | Surrender form, bond, PRB, loan receipt book, bank proof | Surrender letter + disbursement voucher |
| Reduced Paid-Up | Application, policy bond, PRB | RPU approval |
Easy Tips to Avoid Mistakes
- ✅ Always Fetch the policy first and check the eligibility status before going further
- ✅ Tick the document confirmation box only after you physically check every paper
- ✅ For loans and surrenders, fill in the disbursement mode and office correctly, or the payment gets stuck
- ✅ Use the Missing Documents tile to clear “Documents Pending” cases quickly
- ✅ Keep the Request ID from the receipt. It is the easiest way to track the request
Why Should You Learn This?
- For working PAs/SAs: Revival, loan and surrender are among the most common PLI requests at any Head Post Office. Knowing the IMS flow means faster service and fewer cases rejected at QC.
- For exam aspirants: Revival, loan, surrender value, paid-up value and commutation are favourite topics in the Postal Assistant Exam, the PA SA Departmental Exam, and the MTS to PA and Postman to PA Departmental Exam.
- For GDS and MTS staff: If you are preparing for GDS to MTS, GDS to Postman or MTS to PA, understanding PLI now gives you a clear advantage later.
